Overview
The primary responsibility of the Administrative Assistant is to act as Hygeia's Ambassador, meeting and greeting visitors and presenting Hygeia in a favourable, professional light. Additional responsibilities include providing marketing and administrative support to Management and internal teams in order to facilitate efficient, organized and productive daily operations.
Key Responsibilities
- Greet and direct all visitors
- Open and distribute mail, including couriers; prepare outgoing mail and couriers, and track all related expenses
- Manage office supplies, including ordering supplies, sourcing appropriate vendors and managing the relationships, preparing budgets, tracking expenses and purchase orders, petty cash
- Organize events, meetings, conference calls, client visits
- Make and track travel arrangements, including researching and sourcing flights, hotels, etc.
- Provide administrative assistance to management, including minutes to meetings
- Proficient handling of all confidential and time-sensitive material
- Prepare and distribute marketing packages
- Provide support to switchboard operator
- Statistical tracking and reporting
- Other duties as required
Required Qualifications
- 3+ years of Administrative and/or Executive Assistance experience
- Must present his/herself professionally
- Ability to work independently in a proactive manner to prioritize own work
- High level of proficiency with Microsoft (Word, Excel, PowerPoint) and Outlook
- Superior organizational skills
- Strong written and verbal communication skills
- Able to work well under pressure to meet and complete project deadlines
Preferred Qualifications
- Post-secondary education in an administrative program
- Insurance or Health Administration experience beneficial
- Bilingualism (French and/or Spanish) would be considered an asset
